User roles In FieldClock

To provide the most flexibility in user privileges in FieldClock, a user may have more than one role. i.e. If you need a Crew Boss to have access to Reports, both the Crew Boss & Report View role may be given.

Company Administrator

Company Administrators have unrestricted access to the system. They can create jobs, view and edit all objects in the system, and export payroll data. Use the Company Administrator role for employees who need to be able to import/export data and manage other users' access.

Report Viewer

Report Viewers are only able to view and export reports. All links within each report (to jobs, employees, etc...) are disabled. Use the Report Viewer role for any user who needs 'read-only' access to all things report related.

Payroll Administrator

Payroll Administrators can view and create Payroll Batches, download and print Payroll batch reports, and view and modify Payroll Entities. Use the Payroll Administrator role for employees who oversee Payroll Batches, export Payroll data out of FieldClock, or manage employee payouts.

Employee Administrator

Employee Administrators can view, create, modify and delete employee records. Use the Employee Administrator role for employees who oversee other employees.

Manager

Managers can create jobs, clock workers in and out, create piece tickets, and create quality notes. Managers also have the ability to finalize jobs and thus set employee pay. Use the Manager role for employees who oversee crews and 'sign off' on pay for workers. Managers automatically inherit the Crew Boss, Ticketer, and Quality Checker roles.

Crew Boss

Crew Bosses are mostly the same as Managers - they can create jobs, clock workers in and out, create piece tickets, and create quality notes. Crew Bosses are different than Managers because Crew Bosses cannot finalize Jobs. Use the Crew Boss role for employees who create jobs and are responsible for clocking employees in and out. Crew Bosses automatically get the Ticketer and Quality Checker roles.

  • Crew Bosses may not edit employee records. That privilege is available through the Employee Administrator role.

Ticketer

Ticketers are able to generate piecework production numbers at jobs. They cannot create new jobs, or clock employees in or out by default. Use the Ticketer role for employees who tally production in the field. If Ticketers need to be able to clock-in employees as this is sometimes necessary in low-reception areas, you must enable 'Ticketers can clock' on the admin site. Go to the Admin section, click the Misc. tab, then edit App Settings.

Quality Checker

Quality Checkers are able to create quality notes, with text or photos, at jobs. They cannot create new jobs, clock employees in or out, or record piecework. Use the Quality Checker role for employees who just report quality.

Roamer

Roamer is a special role that cannot be used in combination with other roles. A Roamer can create hourly jobs, but can only clock themselves in or out of the jobs they create. They do not have permission to generate production or to clock other employees in or out. Use the Roamer role for employees who operate independently and need to be able to create jobs but do not need to be able to work with other employees at the same job.

How it works: The person is clocked-in as soon as they create a job for themselves. Once created, they’re taken directly to Job Details. As soon as they leave Job Details, they’re automatically clocked-out. The role is meant to be a ‘clock-in’, put phone in pocket, and move on type of role to minimize phone time.

Production Viewer

Production Viewer is a special role that cannot be used in combination with other roles. A Production Viewer can view production totals for the current day's piecework jobs, but cannot create or edit any data in the system. Use the Production Viewer role for employees that need to be able to see numbers but not edit anything - such as warehouse workers or other people who plan line time, trucks, etc.
